Case study · anonymized
Verified decision-makers, delivered daily, at the volume the client sets.
A past project in data and signal research. The client sold to independent businesses in a large US market and needed people it could actually reach. This system finds them.
The result in the first month
15 days
From kickoff to the first leads delivered. Fully handed over on day 24.
100%
Of delivered leads had a named decision-maker and a direct email verified as valid in the last 7 days.
Any volume, under 24 hours
The client sets the goal in one click, and the system delivers the new verified leads in under 24 hours.
No company names, people or commercial terms are shown. This was a related project, not the same scope as the current build.
The problem
Why this market was hard.
Buyers tune out
These owners get sales pitches every month. More volume on its own only adds noise.
Timing decides
Businesses rethink their vendors when they open, change owners, move or switch software.
Databases fall short
Single-location businesses are poorly covered, and a shared front-desk inbox is not a decision-maker.
What was built
One pipeline from public records to an outbound-ready lead.
Every step is automated, and every lead keeps a record of why it was accepted.
1. Watch for change
New and changed businesses come from a federal registry and state business filings as they are published: a new business, a new owner, a new location or a move. The coverage is set by the client's ideal customer profile, not by the system.
2. Keep real prospects
Each business is matched to its website. Large groups, multi-site brands, existing customers and duplicates are removed. Then the system names an owner, partner or executive. Office managers and shared inboxes don't count.
3. Verify, rank, deliver
Direct email only, verified valid within 7 days of delivery. Catch-all mail servers are rejected. A score based on fit, timing and decision route orders the list. Leads arrive as files ready for the client's sequencing tool.
Volume
Volume is a setting, not a ceiling.
The system runs every morning until the monthly goal is met, then stops spending. The client changes the goal in the app, with no engineer involved. Each time the goal went up, the system scaled with it.
The first month, measured
About 1 in 5
Emails found were risky or invalid and never reached the list. This protects the sender's reputation.
About 125 hours
Of manual research replaced in month one. Estimate: 15 minutes per qualified lead. Time on businesses that didn't qualify isn't counted.
About 5,000 tests
Automated tests, health checks and uptime alerts. Rules are explicit and versioned.
All figures come from the system's own records as of October 24, 2026.
What this means for you
Find the change that comes before a buying decision.
If your market is large and every account looks the same from the outside, a bigger list won't fix it. What works is spotting the change that comes before a purchase, from public or licensed data sources, refusing any contact that can't be verified, and letting you set the volume. The signals and rules are built for each market. The pattern carries over.
